Production peaks in Q4: production helpers at short notice, without permanent hires

Year-end business picks up and the core crew is at its limit. How to bring in production helpers at short notice without hiring permanently: lead time, shifts, housing, cost.

Extra shift on a production line during the order peak in the fourth quarter

In the fourth quarter orders pick up, and the core crew has long been working at its limit. Anyone looking for production helpers at short notice now faces a basic question: hire permanently or add reinforcement for a fixed term? A permanent hire ties you in beyond the turn of the year, even though the peak usually flattens out again in January. For staff for order peaks there are therefore models cut precisely to the period in which you need the reinforcement. This article shows how flexible workforce planning in Q4 runs: what lead time to allow, how shifts can be filled, who acts as the employer of the workers, and what to calculate with. What we name are indicative rates, not wishful figures.

The usual route for a fixed-term peak is staff leasing, legally temporary staffing (German AÜG, Arbeitnehmerüberlassung). The workers work in your company, at your machines and at your cycle, for exactly the agreed period. The lender and employer is a licensed partner company that carries the employer obligations: minimum wage, collective pay, social insurance and payroll tax run through that company. Arbeitina acts as intermediary and coordinator, and your company remains the client site with the duties that arise there, that is instruction, working time and occupational safety. Temporary staffing is reserved for workers with an EU passport, so in the year-end business we work with our network in Eastern Europe. What the process looks like in detail is described on our page on temporary staffing and staff leasing.

Filling production helper roles at short notice succeeds in Q4 above all through short routes. From Eastern Europe a team is as a rule on site within 7 to 10 days, counted from your approval of the profile. That is a value from experience, not a date that can be pinned down in advance. It can be shortened by a clear requirement profile, an early decision on shift model and start, and a settled housing question. It takes longer with special profiles, with required licenses and with short-notice changes to the quantity. We verify qualifications in advance, on the basis of evidence, documented practice and references. So plan the demand for November and December in October, not in the week in which the line stalls.

An order peak rarely falls into a single shift. We therefore plan staffing along your shift structure: individual workers as reinforcement, a complete shift crew, or a team that takes over the late shift and relieves the core crew. Semi-skilled workers and production helpers sit at €22.50 net per hour, forklift drivers with a valid license included. That is an indicative net rate; the binding rate is set in the quote after the requirement analysis. All inclusive as per quote are accommodation, vehicle and transport costs as well as overtime without surcharges, which counts in Q4 as soon as Saturdays are added. We organize accommodation and travel as well, because both otherwise become the bottleneck when several companies in a region scale up at the same time. Calculate the demand on the lean side and add later, rather than booking too large a number from the start.

In the year-end business the peak almost always hits two areas at once: manufacturing and dispatch. Which profiles we fill in production, from machine operator to assembly helper, is described on our industry page on production and manufacturing. For order picking, handling and dispatch you will find the profiles on our industry page on warehousing and logistics; licensed forklift drivers run there at the same hourly rate as semi-skilled workers. It makes sense to look at both areas in one inquiry. Then shift times, numbers and accommodation fit together from the start. Whoever only reinforces the line moves the jam to the loading ramp. Whoever plans manufacturing and dispatch together keeps the throughput across the whole quarter.

How much lead time does staffing in Q4 really need? For workers from Eastern Europe the window is as a rule 7 to 10 days between approval and the first working day. Added to that is the time your own company needs: the decision on numbers and shift, instruction, access, work clothing. In Q4 you should rather count on two to three weeks until full productivity, because training-in during a running peak goes more slowly than in a quiet summer. A short list up front helps: the number required, shift model, start, expected duration and the tasks on the line. Anyone who only inquires when the night shift is already dropping out is working to a very tight schedule.

What does staff for order peaks cost compared with a permanent hire? The hourly rate is higher than the bare wage of an employee of your own, and that belongs in an honest calculation. The rate does, however, contain wage and non-wage labor costs, collective pay, accommodation and transport as per quote, as well as the organization you do not have to provide yourself. Set against that is the risk of a permanent hire that has effects well beyond January, when orders fall back to normal. Weigh both against the period you actually have to cover, and do so across the entire assignment period rather than a single month. For many companies flexible workforce planning in Q4 is not the cheapest but the most robust option.

What happens if the peak ends earlier or turns out larger than planned? The assignment period is agreed in advance; extension and early termination are settled in the contract before the first working day begins. Scaling up afterwards usually goes faster than the first start, because the requirement profile is then already in place. A replacement in case of absence is organized by agreement, not as a blanket rule for every case. If you need production helpers at short notice for the year end, describe the assignment, number, shift model and period on our contact page. You receive an honest assessment of what is realistic by when, and a rate that becomes binding in the quote.
